Clean, current, reconciled books — kept by a Certified QuickBooks ProAdvisor who also prepares your return.

IRS Enrolled Agent St. Augustine & Northeast Florida

Bookkeeping & QuickBooks

Accurate books are the foundation of every other financial decision you make. Oldest City Financial Consulting, LLC keeps your records clean, current and reconciled month after month — so you always know where your business stands, and so nothing has to be reconstructed under pressure in filing season.

Ashley J. Trimboli is a Certified QuickBooks ProAdvisor and an IRS Enrolled Agent. That combination is the point: the person maintaining your books is the same person who understands how every entry will be treated on your return. Nothing is lost in translation between your bookkeeper and your tax preparer, because they are the same person.

What we handle

  • Monthly and quarterly bookkeeping
  • Bank, credit card and loan account reconciliation
  • Accounts payable and accounts receivable
  • Payroll processing and management
  • Sales and use tax tracking
  • Internal financial statements — profit and loss, balance sheet and cash flow
  • QuickBooks set-up, clean-up and training
  • Chart of accounts design and correction
  • 1099 preparation and year-end contractor reporting
  • Year-end close, handed straight to your tax return

Behind on your books? Start here.

Most businesses that come to us are not starting from zero — they are starting from a shoebox, a spreadsheet, or a QuickBooks file that stopped being reliable two years ago. That is ordinary, and it is fixable.

We take on catch-up and clean-up work: reconstructing prior periods, reconciling accounts that have never balanced, correcting a chart of accounts that was never set up properly, and separating personal spending that has become tangled with the business. Once the history is right, keeping it right is straightforward. The sooner it is addressed the fewer options are lost, so it is worth a call rather than another quarter of waiting.

QuickBooks, set up properly the first time

A Certified QuickBooks ProAdvisor designation means the software is not something we are learning on your file. We will set QuickBooks up around how your business actually operates, migrate what is worth keeping, and train whoever on your team touches the books — so your records stay clean between visits instead of drifting.

If you would rather hand the whole function over, we can simply run it for you. Both arrangements are common.

Who we work with

Owner-operated businesses across the country: contractors and the trades, restaurants and hospitality, professional practices, retail, property owners and service businesses. Some have one employee, some have fifty. What they share is a preference for talking to the person who actually knows their numbers.

How it works

  1. A conversation. Tell us what shape the books are in and what you need out of them. There is no cost to find out whether we are a fit.
  2. A review. We look at your existing records and tell you plainly what is sound, what needs correcting, and what any catch-up work involves.
  3. Clean-up, then routine. We bring the history current, then keep it current on a monthly or quarterly cycle.
  4. Statements you understand. You get internal financials on a regular schedule, and a conversation about what they mean — not just a PDF.

Where bookkeeping fits with everything else

Bookkeeping is the raw material for every other service we offer. Clean books make tax preparation faster and cheaper, and they are what makes real tax planning possible — you cannot plan around numbers you do not trust. When a business needs more than record-keeping, our Chief Financial Officer Services add cash flow projections, budgeting and financial leadership on top of the same foundation.

We have helped many individuals, small business, larger and enterprise corporations to overcome their administrative difficulties and become what they are today.

Find Out What You Could Be Saving

One conversation is usually enough to see where the opportunities are — and we will tell you honestly if there aren’t any. No obligation, no jargon, no pressure.

Bookkeeping FAQs

How much does bookkeeping cost?

It depends on transaction volume, how many accounts need reconciling, whether payroll is involved, and the current state of the records. We quote before any work starts, and catch-up work is quoted separately from the ongoing monthly cost so you can see exactly what you are paying for. Schedule a consultation or call (904) 501-4345 for a number.

I am years behind. How far back can you go?

As far back as needed. We regularly reconstruct multiple prior years, and it is more common than most owners assume. If unfiled returns are involved as well, that is squarely within an Enrolled Agent’s practice rights — we can bring the books current and address the filings together rather than sending you to a second firm.

What is the difference between bookkeeping and CFO services?

Bookkeeping records what happened accurately and on time. CFO services use those records to tell you what to do next — cash flow projections, budget development, and the financial leadership a growing company needs without a full-time hire. Most clients start with bookkeeping; some add CFO services as they grow.

Do you use QuickBooks Online or QuickBooks Desktop?

Both. Ashley is a Certified QuickBooks ProAdvisor and works in whichever version suits your business. If you are on the wrong one, or on a file that was set up incorrectly, we will tell you and handle the migration.

Do you handle payroll?

Yes. Payroll processing and management is included in what we do, alongside 1099 preparation and year-end contractor reporting.

Can you work alongside my existing accountant?

Yes. Some clients want us purely for the monthly bookkeeping and keep an existing relationship for other work. We will hand off clean, well-documented records. That said, most find it simpler when the person keeping the books also prepares the return — fewer questions fall between the two.

Do you serve businesses outside St. Augustine?

Yes. We provide bookkeeping throughout Florida and across the country, including Jacksonville, Ponte Vedra Beach, Orange Park, Palm Coast and Daytona Beach. Bookkeeping is handled remotely for most clients, so distance is rarely a factor.
